Contract Management & Renewals

No more silent renewals. We monitor every Software contract, even the small ones. Well in advance, we raise the alarm. You stay in control, without the administration.

The problem: auto-renewals that no one reviews

Software contracts quietly renew themselves. Prices increase slightly every year, terms shift, licenses for ex-colleagues continue. And at some point, the contract has been extended for another year without anyone noticing.

For Enterprise organisations with hundreds of Software contracts, this is not the exception but the rule. It costs money monthly and creates compliance risks only noticed during audits.

Our approach: one overview, proactive alerts

Contract management at SoftVaro is not a tool or a dashboard. It’s a fixed point of contact that monitors your contract portfolio, tracks renewal dates, and raises the alarm well before the deadline when you still have room to negotiate.

What is included in contract management?

What SoftVaro contract management offers, practical and without overhead.

Contract overview

Central overview of all your Software contracts: durations, prices, license counts, and critical dates. Always up to date.

Proactive alerts

We raise the alarm around every renewal deadline. Not 2 weeks ahead, but three to six months in advance.

Price trend insight

Year-over-year price increases mapped out. We spot patterns you might miss in individual contracts.

License usage

We discuss with you whether the licenses you pay for are actually being used. Unused licenses mean direct savings.

Renewal negotiation

Every renewal is an opportunity to negotiate. We prepare and execute on your behalf, if you wish.

Dedicated contact

One contact person for your Software contracts. No tickets you have to manage yourself.

This is how the renewal process works

Early assessment

Renewal is coming up. We review the license agreement based on benchmark data. You receive a concrete recommendation.

Strategy choice

Determine strategy: renew with better terms, migrate to an alternative, or scale down? The choice is yours, supported by our analysis.

Negotiation

Where needed, we start negotiations with the Software manufacturer. Based on benchmark data and internal analysis, we secure improved terms.

Closing

Contract signed, terms documented, portfolio updated. You sign, we ensure everything is correct.

Follow-up

A new cycle begins. We stay in dialogue with you about usage and track price developments and contract data. On to the next renewal.

Frequently Asked Questions

Do I need to purchase a tool?

No. We use our own system to maintain your portfolio. You receive a clear report without needing to transfer data yourself or implement a tool.

How much time does it take from us?

Starting requires a kickoff session of about 2 hours where we review your existing contracts together. Afterwards, your time investment is limited to decision moments during renewals, on average 1 to 2 hours per contract per year.

Which contracts does SoftVaro manage?

All Software contracts you want to control. This can start with 5 critical contracts up to your entire portfolio. Starting small and expanding is always possible.

How does SoftVaro earn?

We start small. For your first request or renewal, we transparently agree in advance what SoftVaro earns. So you know where you stand before starting, with no obligations afterwards. If the collaboration is successful and grows, we make agreements suitable for the size of your portfolio, such as an annual agreement or a framework contract.

Can I start with just one contract?

Absolutely. Many organisations engage us for one specific contract that costs a lot or is about to expire. If it goes well, we expand.

Every cooperation starts with one request.

A quote for your renewal or a new Software need. Or a review of a quote you already have. From your first request, you work with the same approach as our existing Enterprise customers: a dedicated contact, a response within 24 hours, and full commitment from our network. Confidential and under NDA.
